Email notifications for completed reports

How email notifications let you know when your report is ready, and how to turn them on or off.

When your report finishes generating, Xapien sends you an email notification - so there's no need to keep checking the portal while your report is in progress.


How it works

  • An email is sent to the person who ran the report as soon as it completes.

  • The email subject line includes your subject's name, so if you have multiple reports in flight you can tell at a glance which one has finished.

  • Selecting View Report opens the report directly in the portal. If you're logged out, you'll be asked to log in first and then taken straight to your report.

If the report has been deleted by the time you click the link, you'll see a message confirming the report is no longer available.


Managing your notification preferences

Email notifications for completed reports are on by default. To turn them off (or back on):

  1. Click on your initials, located at the bottom of the left sidebar.

  2. Select Settings.

  3. Open the Notifications tab.

  4. Toggle Report completed emails on or off.

When the feature is on, the toggle appears dark green. When it is off, the toggle appears grey.

Running reports via the API? If a report is run by a user with their own login, they'll receive an email as normal. Reports run by a service account won't trigger an email, as there is no email address associated with the account.
