If you're an Organisation Admin, you can add and manage users in your organisation directly from the Xapien platform.
This article walks you through where to find user management, how to invite new users, and how to manage existing ones.
ℹ️ Who can do this?
Only Organisation Admins can access user management. If you don't see the Users page described below, your role doesn't have permission to manage users - please speak to an Organisation Admin in your team.
Finding the Users page
Organisation Admins will see a dedicated Users page in the side navigation. This is your home for everything related to user management: viewing who's in your organisation, inviting new people, and updating roles.
On the Users page you can:
View everyone in your organisation
Search users by name or email
Filter users by role
See the status of pending invites
Invite new users
Change a user's role or remove them from the organisation
How to invite a new user
Option 1: From the Users page
Go to the Users page in the side navigation
Click Invite people
Enter the new user's email address - their first and last name will auto-fill from the email, which you can edit if needed
Select the role you'd like to assign - role descriptions appear inline to help you choose the right permission level
Click Send invite
Option 2: From the sidebar "+" menu
Click + in the sidebar (above your initials)
Select Invite people
Enter the email, confirm the name, and choose a role
Click Send invite
The new user will receive an email invitation to register and set a password. Once they've completed registration, they'll appear in your Users page with their assigned role.
When inviting a user, you'll need to assign one of the following roles:
Organisation Admin - full access across all teamspaces, plus user management.
User - works within the teamspaces they're assigned to.

Managing pending invites
Invites that haven't been accepted yet appear in the Users page with a Pending status. For each pending invite you can see:
The recipient's email
The date the invite was sent
The current status
From here you can resend the invite (for example, if the recipient can't find the original email) or revoke it if it was sent in error or is no longer needed.
Changing a user's role or removing a user
From the Users page, you can update existing users at any time:
Change role - update someone's permissions (for example, promoting a User to an Organisation Admin).
Remove user - remove someone from the organisation. They will no longer be able to access Xapien or any teamspaces they were part of.
My organisation uses SSO
If your organisation uses Single Sign-On (SSO), you will be unable to add new users. This is because users need to be provisioned through your automated SSO flow rather than through a standard user invite.
If you use SSO and need to add users, please contact Customer Success or customer support.
