Getting Started on the Next Generation Xapien Platform

This guide walks you through what to expect when moving to the upgraded Xapien platform, and what you'll find once you're set up.

Setting Up Your Account

When your organisation is migrated to the new platform, you'll receive a getting started email from Xapien containing your registration link. If you've already completed the steps below, skip ahead to Finding Your Existing Reports.

Step 1: Check your email Look out for a getting started email from Xapien. This email contains your personal registration link to activate your account on the new platform.

Step 2: Set up your password Click the link in the email and you'll be taken to a password setup page. Choose a password that meets the criteria shown, then press Continue. This creates your account on the new platform.

Step 3: Log in Log in using the email address your invitation was sent to and the password you just created.

Step 4: Explore the new platform When you first log in, you'll be greeted with a short tutorial introducing the new features and capabilities of the upgraded platform. After that, you'll land on the home page. It'll feel familiar, with the same core workflow you're used to.


Finding Your Existing Reports

All your previous reports have been moved into the new platform. You can find them in the Reports section, which shows all reports you have access to.

  • Reports you ran privately appear in your private space, just as before.

  • Reports shared with a group appear in the corresponding teamspace (previously called a group) in the new platform. You'll see the same reports, accessible to the same people.


Opening a Legacy Report

When you click on an existing report, it opens in the previous version of the platform in a read-only view. This is the same report you're used to, so everything looks the same β€” but you won't be able to edit it.

You can still export legacy reports to PDF from this view.


What Happened to the Old Platform?

Classic Xapien has now been sunsetted and is no longer accessible. If you attempt to visit the old Xapien URL, you'll see a message confirming that your organisation has been moved, with a link to open the new platform directly.

If you previously had dual access to both platforms, please note that access to Classic Xapien is no longer available. All your reports and data are accessible in the new platform.


Need Help?

If you have any questions or something doesn't look right, help is available directly within the new platform.

Click on your name in the bottom-left corner of the platform to open the Help widget. From there you can:

  • Chat with the AI agent to get answers to common questions

  • Search the Help Centre for articles and guides

  • Review previous conversations with the support team

  • View updates and news from Xapien
